School operations, attendance, and roll call tool for authorized staff

1. Introduction

TABIS Staff is a mobile application used by authorized school staff to support school operations, including attendance, roll call, learner directory access, class management, event workflows, guardian communication, and related school administration functions made available through TABIS.

By using TABIS Staff, you agree to these Terms and to the Privacy Policy set out below.

2. Who May Use TABIS Staff

TABIS Staff is intended only for school staff and other users authorized by a school or by TABIS administrative controls.

You may only use TABIS Staff if:

  • you are an authorized school staff user or an otherwise authorized administrative user;
  • you use your own correct phone number and verification code where required;
  • you use the app only for legitimate school and operational purposes.

3. Nature of the Service

TABIS Staff is an operational school tool. It is used to view, manage, and submit school records and actions created through TABIS workflows.

The app may support activities such as:

  • staff login and verification;
  • roll call and learner attendance workflows;
  • class and stream access;
  • learner and guardian directory access;
  • guardian SMS communication;
  • school event preparation and participation workflows;
  • student release and receive records;
  • staff attendance and administrative reporting;
  • shared school device workflows where enabled by the school.

4. Accuracy and School Responsibility

Some information shown or submitted in TABIS Staff is entered, confirmed, or generated through school processes, staff actions, school settings, biometric integrations, and operational workflows.

While TABIS aims to present information clearly and reliably:

  • schools remain responsible for the operational accuracy of their attendance, roll call, movement, and communication procedures;
  • staff users remain responsible for the accuracy of actions they submit through the app;
  • schools should correct inaccurate records through proper administrative processes.

5. Account Access and Security

Access to TABIS Staff may be controlled through phone verification, authenticated sessions, and a Security PIN for sensitive actions.

You are responsible for:

  • keeping your phone and verification codes secure;
  • protecting your Security PIN and not sharing it carelessly;
  • locking or exiting the app where necessary, especially on a shared school handset;
  • using only the access level and workflows you are authorized to use.

If you believe another person has accessed school information improperly through your device or account, notify the school immediately.

6. Shared School Devices

Some schools may use TABIS Staff on a shared or school-owned handset. In those cases, the app may support shared device activation, temporary class workspace context, OTP verification for class access, and Security PIN confirmation for sensitive class actions.

Shared device workflows are intended to support school operations without making a shared handset the personal property of one teacher or staff user.

7. Acceptable Use

You agree not to:

  • use the app to access information you are not authorized to see;
  • attempt to interfere with the app, its servers, or related systems;
  • misuse learner, guardian, staff, or school information;
  • send misleading or unauthorized guardian communications;
  • use TABIS Staff in a way that harms the school, a learner, a guardian, or another staff user.

8. Availability

TABIS Staff depends on internet connectivity, school configuration, device state, and backend service availability. Some features may not be active for every school at the same time.

TABIS may add, improve, limit, or remove features from time to time.

9. Limitation of Liability

TABIS Staff is provided as a practical school operations service. To the extent permitted by law, TABIS is not liable for indirect or consequential loss arising from:

  • delayed school data entry or staff submission;
  • school-side operational mistakes;
  • improper use of shared devices;
  • connectivity issues;
  • temporary service interruptions.

Nothing in this policy is intended to remove rights that cannot legally be excluded.

10. Changes to These Terms

These Terms and this Privacy Policy may be updated from time to time. Continued use of TABIS Staff after updates means you accept the updated version.

11. Contact

For school operational issues, attendance clarification, roll call disputes, or school-side corrections, contact the school first.

For TABIS platform issues, support may be provided through the school or an authorized TABIS support channel.


12. What Information We Process

TABIS Staff may process the following categories of information:

  • staff name, alias, role, designation, and school assignment;
  • phone number and authentication data such as OTP verification records;
  • Security PIN setup and verification data for sensitive actions;
  • school, class, stream, and class teacher assignment information;
  • staff profile photo where uploaded;
  • learner names, admission numbers, class and stream details, and learner photos where enabled;
  • guardian names, guardian phone numbers, and guardian relationship data where relevant to school communication workflows;
  • attendance, roll call, release, receive, event, and directory access records;
  • guardian SMS communication content and delivery records where the app is used to send school messages;
  • session, device, and technical data necessary for secure app operation.

13. Why We Process This Information

We process this information to:

  • verify authorized staff access;
  • protect sensitive school actions with OTP and Security PIN workflows;
  • support attendance, roll call, and learner safety workflows;
  • support class, learner, guardian, and event operations;
  • support administrative reporting and accountability;
  • support secure guardian communication through the platform;
  • improve security, reliability, and auditability in the platform.

14. Source of the Information

Information shown or processed in TABIS Staff may come from:

  • the school;
  • staff actions and administrative configuration;
  • class teacher assignments and school structure settings;
  • learner and guardian records managed by the school;
  • attendance and roll call workflows;
  • linked biometric or attendance systems used by the school.

15. How Information Is Used

Information is used only for legitimate school and platform purposes, including:

  • authentication and access control;
  • session security and sensitive-action verification;
  • attendance and roll call reporting;
  • learner safety and movement workflows;
  • guardian communication;
  • school operations, reporting, troubleshooting, and service support.

16. Sharing of Information

TABIS Staff is designed to share school information only with:

  • authorized school staff and authorized administrative users;
  • the school and its authorized users;
  • authorized technical service providers involved in running the system, where necessary;
  • guardian communication providers where SMS delivery is requested through the platform.
TABIS does not sell personal school data.

17. Data Retention

Information may be retained for as long as reasonably necessary for school operations, reporting, communication history, legal compliance, dispute resolution, audit needs, and service integrity, subject to school policy and applicable law.

18. Data Security

Reasonable technical and organizational measures are used to protect personal data. However, no internet-based service can guarantee absolute security.

Staff users and schools should also help protect access by securing devices, managing shared handsets responsibly, and using OTP and Security PIN workflows properly.

19. Learner and Guardian Information

TABIS Staff may display learner and guardian information only for school administration, attendance, safety, reporting, and communication purposes. Staff users should not use that information for personal or unrelated purposes.

20. Questions or Corrections

If you believe information shown in TABIS Staff is incorrect, incomplete, or shown in error:

  • contact the school first for record clarification or correction;
  • contact support through the school where a technical issue is suspected.

Reminder - TABIS Staff is an operational school tool. For attendance, roll call, learner, guardian, and administrative record disputes, the school should be the first point of correction and clarification.
